Invoice to Receipt: Record the Payment

An invoice requests payment. After money is received, match it to the invoice and create a receipt or confirmation for the amount actually paid.

In brief

The invoice-to-receipt sequence connects the original payment request to money received. A receipt should record the actual payment—not merely repeat the invoice total if only part was paid.

An invoice-to-receipt workflow connects the seller’s request for payment to the payment received. The invoice identifies what is owed; the receipt records what was paid, when and how, and which invoice the payment relates to.

Steps to record an invoice payment

  1. Find the invoice. Use the invoice number, customer, amount and due date to identify the right record.
  2. Confirm payment was received. Check the relevant bank, card processor or payment platform; a remittance notice is not always the same as cleared funds.
  3. Match the amount and reference. Record the date, amount, method and transaction reference. Resolve differences such as fees or short payments according to your normal process.
  4. Record a partial or full payment. If only part was received, leave the remaining balance visible. Do not mark the invoice fully paid until the total is settled.
  5. Issue a receipt or confirmation if appropriate. State the amount received and the invoice reference. A receipt for one instalment should not imply the full invoice was paid.
  6. Keep the documents together. Store the invoice, receipt, payment record and any correspondence for later reconciliation.

Example: partial payment

A customer owes $800 on invoice INV-2026-022 and transfers $500. The seller records a $500 payment and can issue a receipt for $500 referencing INV-2026-022. The invoice remains partially paid with a $300 balance. A later $300 payment completes settlement.

Related adjustments

If the charge itself needs correction, a payment receipt is not a substitute for an adjustment document. A credit note may be used in some workflows to document a credit against an invoice; follow the process applicable to your transaction and jurisdiction.

Create the original request with the invoice generator, then record money received with the receipt generator. See invoice vs receipt.

Frequently asked questions

After payment is actually received and matched to the invoice. A remittance notice alone may not mean funds have cleared.

What belongs on the receipt?

Record the amount received, date, payer, method and the related invoice reference, plus any remaining balance if payment was partial.
